Terms of entry
Please read these before you enter. Entering is your agreement to them: there is no separate waiver.
1. Who we are
The Urban Night Series is organised by Organic Adventure Ltd, a company registered in England and Wales, company number 16723364. Our registered office is 2 Halifax Old Road, Huddersfield, HD1 6HW. In these terms "we" and "us" mean Organic Adventure Ltd, and "you" means the person taking part. Contact us at Ops@thedropuk.co.uk.
2. Agreeing to these terms
- You agree to these terms by ticking the box when you enter. We keep a record of the version you accepted and when.
- Each person enters and accepts these terms for themselves. Running round with friends is fine, but everyone needs their own entry.
- The event page (dates, times, venue, kit) is part of these terms. If the two disagree, the event page wins for that round.
3. Who can enter
- You must be 16 or over on the night of each round you enter.
- You confirm you are fit and well enough to be on your feet for an hour after dark, and know of no medical reason not to take part. If you have a condition we should know about, put it on your entry.
- Only the person named on the entry may take part.
4. What the event is, and what you take on
The Urban Night Series is a one-hour score event on foot, round the streets, paths and ginnels of Halifax, after dark. There is no set route, no marshals on the course and no closed roads. You choose where to go.
- You will be on public roads and paths in the dark, with traffic, uneven ground, the weather and other members of the public. You are responsible for your own safety and must follow the law and the Highway Code. Cross roads only where it is safe, and give way to everyone.
- Checkpoints are places, not flags. The iOrienteering app records them when you are close enough. Never go onto private property, railway land or anywhere unsafe to reach one.
- You take part at your own risk, to the extent the law allows. Section 9 explains what we remain responsible for.
5. The rules
- Register at Dukes within the times on the event page. Start between the first and last start times.
- You have 60 minutes from your own start. Late finishers lose 2 points a minute; more than 20 minutes late scores nothing.
- On foot only: no bikes, scooters, lifts or public transport.
- You must carry a working phone with the iOrienteering app, a torch, and wear something hi-viz.
- Always report to the finish, even if you stop early, so we can count everyone home.
- We may disqualify anyone who breaks these rules or behaves in a way that puts themselves, others or the event at risk, or is abusive to our team, other runners or the public. No refund is due.
6. Safety and emergencies
- In an emergency, call 999 first. Then call the event team on 07549 309086.
- If you stop or leave early, tell us straight away.
- We may stop anyone from starting or continuing if we believe they are unwell or at risk, and may shorten or stop a round if it becomes unsafe.
- You must give an emergency contact who is not taking part and can be reached on the night.
7. If you can't make it
- Move to another round: free, if you ask at least 7 days before the round you entered and there is space.
- Give your place to someone else: free, at least 7 days before. They must meet the entry rules and accept these terms.
- Refunds: entries are not refundable once made, except as set out below. Series entries are for all three rounds and are not part-refunded for rounds you miss.
- Exceptional circumstances: serious illness or injury? Contact us. With evidence we may offer a move or refund outside these limits.
- The usual 14-day right to cancel an online purchase does not apply, because this is a leisure event on a specific date.
8. If we change or cancel a round
- We may change start times, the course and other details of how the night runs. This does not entitle you to a refund.
- If we cancel a round or move its date, we will offer you a place on the new date, a move to another round, or a refund for that round.
- If a round cannot go ahead for reasons outside our control (severe weather, a public emergency, the police or council withdrawing permission), we will offer a move to another round or a later event.
- We are not responsible for travel or other costs you have paid to attend.
9. Our responsibility to you
- What we do not limit: nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud, or for anything else the law does not allow us to limit.
- What you are responsible for: your own decisions on the night, your own safety and your own fitness to take part, as set out in section 4.
- What we are not responsible for: loss, damage or injury that results from your own choices, from breaking these rules, from the actions of other people, or from the ordinary risks of being on foot in public places after dark.
- Your belongings: anything left at the venue is left at your own risk.
- Limit: where we are liable for something other than death or personal injury, our liability is limited to the entry fee you paid.
- These terms do not affect your rights as a consumer under UK law.
10. Price, photos and your information
- The price shown is the full price you pay: nothing is added at checkout. Card payments are taken by Stripe; we never see your card number.
- Results (name, club and score) are published on our website and social media.
- We take photos at our events and use them on our website, in emails and on social media. If you would rather not appear, tell us at registration.
- Our privacy notice explains what we collect and why.
11. General
- We may update these terms. The version you accepted applies to your entry, unless a change is needed for safety or by law, in which case we will tell you.
- Complaints: email Ops@thedropuk.co.uk and we will try to put it right.
- If part of these terms cannot be enforced, the rest still applies.
- These terms are governed by the law of England and Wales.
